Eight Leaf Financial Services

Accounting, bookkeeping, and financial support for growing businesses.

Eight Leaf works with small and midsize businesses that need clean books, dependable reporting, or help getting an accounting process back under control. That may mean fixing old reconciliations, improving payroll or inventory records, rebuilding a QuickBooks file, or providing better financial analysis for management.

The work can be a focused project or an ongoing relationship. We start by understanding what the business is using today, what is not working, and what the owner or management team needs the records to do next.

Not sure what needs to be fixed first?

Existing Books Diagnostic — $95

If you already have books but are not sure whether they are accurate, current, or ready for cleanup, we can start with a focused review. The diagnostic gives us a chance to look at the condition of the records before recommending a larger project or ongoing service.

  • Review the current accounting file and overall record condition
  • Identify reconciliation gaps, unusual balances, or areas that need closer attention
  • Determine whether the next step is cleanup, catch-up work, system setup, or ongoing accounting support
  • Outline the recommended scope before full-service work begins

The $95 diagnostic fee is credited toward your first full-service invoice when you move forward with the recommended work. The diagnostic is an assessment and scope review; corrective bookkeeping, cleanup, tax preparation, and other implementation work are quoted separately.

Why start here?

Small accounting problems can have very different causes. A bank account that will not reconcile may need a few corrections, while the same symptom in another file may point to months of duplicated transactions, payroll mapping issues, or unreliable opening balances.

Starting with a diagnostic keeps us from prescribing a large cleanup before we understand the problem. If your needs are already clear, you can still contact us directly about the specific service instead.

What we handle

Our work ranges from basic bookkeeping through financial analysis. The exact scope depends on the condition of the records, the systems already in place, the complexity of the business, and how much ongoing support is actually useful.

Bookkeeping, cleanup, and monthly accounting

We establish or repair the accounting foundation so the financial statements are based on records that can be reconciled and explained. For some clients this is a one-time cleanup. For others it becomes a recurring monthly close and reporting process.

  • Bank, credit-card, and balance-sheet reconciliations
  • QuickBooks Online and Xero setup or cleanup
  • Chart-of-accounts and transaction-mapping review
  • Historical cleanup, opening balances, and prior-period corrections
  • Monthly close, accruals, receivables, payables, and financial reporting
  • Documented bookkeeping and review procedures

Payroll and contractor accounting

Payroll does not end when the direct deposit clears. We help make sure payroll registers, bank withdrawals, tax liabilities, deductions, benefits, contractor records, and the accounting system remain in agreement.

  • Employee and contractor onboarding support
  • Payroll-to-bank and payroll-to-ledger reconciliation
  • Payroll tax, benefit, deduction, and liability review
  • 1099 and year-end contractor reporting support
  • Support across ADP, QuickBooks Payroll, Gusto, OnPay, Xero-connected workflows, and similar platforms

Inventory, job cost, and variance work

Product, manufacturing, construction, trade, and service businesses often need more than a clean general ledger. We help connect inventory, materials, labor, vendor costs, and job activity back to the accounting records so changes in cost and margin can be understood.

  • Inventory movement and physical-count reconciliation
  • Job material and job-cost tracking
  • Purchase-price, usage, labor, and other variance review
  • Gross-margin and cost-of-goods-sold analysis
  • Month-end inventory controls and management reporting

QuickBooks, Xero, and accounting system changes

A software change is only useful if the accounting structure behind it makes sense. We support new setups, file cleanup, workflow redesign, and migrations without blindly carrying old errors into the next system.

  • QuickBooks Online and Xero setup, cleanup, and workflow design
  • Historical-record review before migration
  • Chart-of-accounts redesign and opening-balance control
  • ERP-to-ledger mapping and conversion support
  • Experience working in SAP, Oracle, and NetSuite environments

Financial reporting, forecasting, and analysis

Once the underlying records are dependable, the accounting can do more than close the month. We build reporting and analysis around the questions management is trying to answer—what changed, why it changed, what is tying up cash, and where the business is making or losing money.

  • Revenue, margin, and expense trend analysis
  • Cash-flow and working-capital review
  • Budget-to-actual and forecast comparisons
  • Customer, product, service, or channel profitability
  • Management dashboards, KPI reporting, and scenario models
  • Owner and leadership reporting written to explain the numbers
How scope is set: We review the accounting system, transaction volume, payroll structure, record condition, tax jurisdictions, reporting expectations, prior-period issues, and any cleanup or conversion work before defining the engagement. When the condition of existing books is unclear, the $95 Existing Books Diagnostic provides that initial assessment before larger work is quoted.

Tax preparation and notary services

These services can be used on their own or alongside an accounting engagement when the client needs the records, filing work, and document support coordinated in one place.

Tax preparation

Eight Leaf prepares individual and small-business tax returns with attention to the records behind the filing. When the books are incomplete or accounts do not reconcile, we identify what needs to be corrected before treating the return as ready.

  • Individual and small-business tax preparation
  • Quarterly and annual filing support
  • Year-end reconciliation and tax-package preparation
  • W-2, 1099, payroll, self-employment, investment, and business-record review
  • Coordination with a client’s CPA, enrolled agent, or attorney when needed

  • Virginia Notary Public service
  • Remote Online Notary service
  • Business and financial-document notarization
  • Appointment-based in-person or remote support

Notary services do not include legal advice or the preparation of legal documents.

Most engagements start with a specific problem, not a package.

We first determine which records can be trusted and where the process is breaking down. From there, the work is scoped around what needs to be corrected and what should be put in place so the same issue is easier to prevent or identify later.

We establish what can be trusted.

That may mean reviewing the accounting file, bank activity, payroll, inventory, tax status, prior reconciliations, or the reporting process before making changes.

We correct the records and the process together.

The objective is not simply to force a balance to match. We document what caused the problem and how the recurring work should be handled going forward.

Ongoing support is added where it is useful.

A project can end after cleanup, or it can continue into monthly accounting, reporting, forecasting, tax readiness, and management analysis when the business needs it.
